Business Email Marketing: Build a Useful Permission-Based Program

Organize the list and message

Record how contacts joined the list and which topics they expect. Keep customer service messages separate from promotional campaigns. Remove addresses that have opted out, and use an email platform that supports a clear unsubscribe process and delivery reporting. Applicable rules vary by location and message type; use the platform’s compliance guidance and obtain appropriate advice for your business.

For US commercial email, consult the FTC’s CAN-SPAM compliance guide when reviewing sender details, subject lines, and opt-out handling. Check any other rules applicable to your recipients separately.

Write one main message with a clear next step. A subject line should accurately represent the email. If the message introduces a guide, link directly to it. If it announces a service, explain who it suits and how to ask about scope. Avoid attachments when a normal website page can provide the information more conveniently.

Test before sending

Send a test to addresses your team controls. Check the sender name, reply address, mobile layout, links, and unsubscribe behavior. Confirm that the destination form works and that replies reach a monitored mailbox. If the campaign uses personalized fields, check what happens when a first name or company name is missing.

Google’s email sender guidelines provide the mail administrator with current authentication and delivery requirements for messages sent to personal Gmail accounts.

Coordinate domain authentication with whoever manages business email. A marketing platform should be configured without disrupting normal mail delivery. Changes to DNS records need to account for all authorized senders, not just the newest tool.

Evaluate useful responses

Review delivery failures, unsubscribes, relevant website visits, and inquiries. Open rates alone are an imperfect measure of interest because email clients and privacy features can affect tracking. Ask whether the email helped the intended person take the next step.
