A handover is not complete merely because someone emailed a folder called “final.” The receiving team needs to know which documents are current, where the gaps are, and who updates them after the next change. The most useful acceptance exercise is a small retrieval test performed by someone who did not create the records.
Use this page to close the office network cabling documentation plan. It covers ordinary office support records. It does not certify an installation, authorize network changes or replace the technical and contractual review required for the project.
Agree the handover package before delivery
Ask for a simple index of the promised records. For each file, record its purpose, version or date, owner and location. Keep the package tied to the project scope so that a missing building area is not mistaken for a complete site survey.
The package may include:
- The current outlet and port register
- A floor-plan reference and naming convention
- A label reconciliation or alias list
- The patch change history
- Cable-test report index and agreed original files
- Open exceptions, exclusions and support contacts
Check consistency across documents
Choose a sample of documented outlets, including recently changed connections and at least one exception. Compare the identifiers in the register, drawing, visible label and test-report reference. Ask the provider to resolve contradictions rather than choosing one document as automatically authoritative.
Fluke Networks' test-result management overview illustrates why organized records matter after testing. The practical requirement for your handover is that the business can retrieve and relate the agreed evidence, whatever tools the provider used.
Run a retrieval exercise
Give an authorized colleague a fictional support request such as “the device at reception needs its documented connection checked.” Ask them to find the outlet record, the current connection information, the most recent change and the relevant evidence file. Do not ask them to disconnect anything or make technical changes.
Record the obstacles they encounter: an inaccessible folder, an unexplained abbreviation, an old room name or a missing report. These are concrete corrections, not criticism of the person performing the exercise.
Separate access to records from access to systems
Documentation access does not require sharing administrator passwords in the same folder. Keep secrets in the organization's approved credential-management process. Give staff the access needed for their role and maintain a clear owner for approving broader access.
If the network drawing or register contains sensitive infrastructure details, use appropriate internal sharing controls. Public marketing pages and open visitor areas are not the place for detailed operational diagrams. Include only the information needed for the support purpose.
Close exceptions honestly
Create a short exception list with the affected identifier, missing evidence, risk or operational consequence as assessed by the responsible person, next action and owner. Do not mark an uncertain cable route verified simply because the rest of the project is complete.
Use the test-report review guide to distinguish missing reports, failed tests and untested services. A business decision to accept a limited handover should state that limit clearly and retain the unresolved work.
Assign maintenance after the project
Name the role that updates records after moves, equipment replacement and other approved changes. Decide how staff report a missing label or discrepancy. Retain a current version and a history sufficient for the organization's operational needs, rather than allowing parallel “final” copies to circulate indefinitely.
Cisco's small-business network guidance provides background on the components being supported. The handover should translate the actual installation into usable local records rather than copying a generic network diagram.
Handover completion checklist
- The package matches the agreed project area and deliverables.
- Sample identifiers agree across labels, records and evidence.
- A second authorized person can retrieve the needed information.
- Exceptions and limitations are explicit and assigned.
- Future updates have an owner and a known process.
